Business calculators for personal trainers

Four quick calculators for the money side of coaching: what to charge per session, how many clients fit your week, how many members a studio or app subscription needs to break even, and what a client is worth over time. Everything runs in your browser; nothing is saved or sent.

Every starting number is an example input. The values filled in below are made-up examples to show how each calculator works. They aren't typical prices, costs or incomes, and they aren't advice. Replace them with your own numbers.

Session pricing · Client capacity and income · Break-even · Client lifetime value

1. Session pricing

Works back from the monthly take-home you want to the price each session needs. Price = (take-home ÷ (1 − tax set-aside) + monthly costs) ÷ sessions per month.

2. Client capacity and income

How many sessions and clients fit into the hours you coach, and the revenue at the share of those slots you actually fill.

3. Break-even for a studio or app subscription

Members (or online subscribers) needed each month to cover fixed costs such as rent, software and insurance. Break-even = fixed costs ÷ (price − payment fees − per-member costs), rounded up.

4. Client lifetime value

What an average client brings in over the time they stay, after your direct costs. Lifetime value = monthly revenue × margin × months as a client. If you know your monthly churn instead, months = 100 ÷ churn %.

These are planning sums, not tax, legal or financial advice. The tax set-aside is a number you choose; ask an accountant what applies to you.
